Introduction

The careful processing of your personal data is important to us at e21 Solutions Oy (hereinafter referred to as "e21 Solutions" or "we"). While processing your personal data, we comply with the current data protection legislation and good data management and processing practices. Personal data refers to any information from which the person (hereinafter referred to as “User” or “you”) is identifiable.

We use personal data for supplying our services and for personalisation, customer service and showing the most appropriate advertisements possible. Please note that our website may include links to the websites or services of other companies who have their own separate privacy policy practices.

Collecting personal data

We primarily collect your personal data directly from you, either verbally or in writing. The data may be collected by ourselves, or by our partners on our behalf.
Any forms sent via our website contain personal data: at a minimum, first and last names and email address. By sending us the form, you accept that the owner of the website will store the personal data you provide in their own system in order to carry out the service you have requested.
The data may also be collected by the services we use.
In addition, we obtain data from registers maintained by public authorities, credit information and credit history registers and other reliable registers.

We may also collect data automatically while the User is using our service. Such data include:

  • How actively the User uses the service, including data and event data stored on the basis of the User’s activity which are sent from the service to statistical and marketing tools.
  • The User’s downloads in the service.

We also receive technical user data concerning our service, such as:

  • Timestamps and logged data related to  the use of the service.
  • Data about the devices used to access the service, including IP addresses and software versions. These data are obtained with the help of the User’s browsers and cookies.
  • Clicks in the service and form fill information.
  • Marketing cookies for showing targeted advertisements.

We do not combine or store these data with personal data.

The way we use personal data
We process personal data for three main purposes.
1. Providing the service
In order to communicate with the User and maintain a good customer relationship, we store their contact details and record the subjects of communications with them to allow us to provide the User with the service.
2. Developing the service and research
We may use personal data to improve the quality of our service, solve any problems discovered with the service and develop the features of the service to better serve the User. This data processing is based on our genuine desire to improve our service and its features and contents. We may also produce anonymous statistics for research purposes, including Business Intelligence.
3. Marketing and communications
We may use personal data to send the User important information about the service. Personal data may also be used for the purposes of advertising, marketing, direct marketing and personalised marketing targeted at the User. We may create general profiles about Users in order to offer better content and advertisements. This is based on our genuine desire to keep Users up to date about our service and to market new useful products and services to our Users. The User has the right  to deny direct marketing at any time.

Disclosing personal data
We do not disclose personal data to third parties, except:

  • IP addresses and marketing cookies, which are not combined with other personal data;
  • when service providers we trust take care of services on our behalf and in accordance with our instructions. However, we carefully monitor the use of the User’s personal data and take responsibility for these in all situations;
  • if we are part of a merger, corporate acquisition, or the sale of a business activity or part of a business activity;
  • when we believe in good faith that disclosing the data is necessary to protect our rights, protect the User’s or others’ security, investigate a fraud, or fulfil the requirements of state authorities.

We do not sell Users’ personal data to third parties.

Transfers of personal data outside the EU/EEA

As a rule, we do not transfer Users’ personal data outside the EU/EEA. However, some of the providers of statistical and marketing services we use operate in the United States. When using the services of these service providers, we may have to transfer some of our Users’ data to the United States, such as IP addresses into statistical services, or email, company and name data into an email marketing system or sales system. In such situations, our service providers have undertaken to provide data protection that meets the requirements of the General Data Protection Regulation in Europe and to comply with the Privacy Shield framework.

Storing personal data

The User’s personal data will only be stored for as long as it is necessary in order to achieve the aims determined in this Privacy Policy Statement. When the storage of the User’s personal data is no longer required by law, our rights or obligations, or the User’s rights or obligations, we will destroy the personal data in question. For example, when a User requests that their personal data be erased from the service, we will destroy the data. For technical reasons, backup of the personal data will be stored in such situations for a maximum of one year before being destroyed. 
We strive to ensure that the personal data in our possession is correct and up to date by erasing unnecessary data and updating outdated data.

Processing personal data

We always process your personal data in accordance with the EU General Data Protection Regulation, take your rights into account and respect your freedoms. We make sure that data protection principles are complied with at all stages of personal data processing. 
Your personal data is only processed by our employees or the employees of our partners who have been authorised to process personal data. We have ensured that our staff have the necessary knowledge and skills for data security tasks by providing them with continuous training and up-to-date instructions.
Your personal data may be processed in several different data systems, which are managed either by us or our partners.

The User’s data protection rights

The User has the right to access any personal data, concerning themselves, which are in our possession. The User has the right to access, rectify, update, alter or erase their personal data at any time. However, some data are essential for the fulfilment of the aims determined in this Privacy Policy Statement and may also be required by law. Consequently, such personal data cannot be erased by the User. 
The User has the right to object to certain types of data processing, such as profiling for marketing purposes. The User also has the right to restrict data processing as far as required by the applicable legislation on data protection.
To the extent permitted by law, the User has the right to data portability; in other words, the right to receive their personal data, which they themselves have provided us with, in a structured, commonly used and machine-readable format and to transmit those data to another controller.
The User can rectify, destroy or otherwise handle their own personal data in the service.

Data concerning children

Our service is not aimed at children under 16 years old. If you notice that a child under the age of 16 has provided us with their personal details, please contact us.

Cookies and other similar techniques

We use cookies or other similar techniques in providing our service. Cookies are small text files that are placed on the User’s device to collect normal logged data relating to the User’s use of the Internet. Certain functions of the service require the use of cookies. We use cookies to increase the functionality of our service and to collect statistics in order to make the service easier to use. In addition, we use cookies for marketing purposes, but we do not store personal data or marketing cookies in a way that makes combining data possible.
The User may set the settings of their browser to not accept the use of cookies. The User may also restrict the use of cookies or disable cookies on their browser. We take security extremely seriously. We carry out various measures to protect your personal data from being lost, abused, or accessed or disclosed without authorisation. These measures are carried out taking into account the sensitivity of the data we collect, process and store, as well as current technology.

e21 Solutions’s customer and marketing database.

4. Purpose for processing personal information

We process personal information in order to handle customer relations, to enforce the rights and obligations of the customer and e21 Solutions, and to treat personal data for purposes related to online services, research activities, directing e21 Solutions’s advertising, and/or direct marketing on customer data through e21 Solutions’s media and services without transferring personal data to third parties in accordance with the Personal Data Act.

5. Data content of the registry

The registry may include the following information about customers:

  • Name
  • E-mail address
  • Address
  • Phone number
  • Company and position
  • Company address

6. Regular sources of data of the registry

The registry is composed of e21 Solutions’s customer database. Information is maintained using publicly available Internet sources (e.g. your company website) and other public sources. The register also contains information provided by the customer itself.

7. Regular disclosure of data

The data controller shall not disclose the personal data of the customer to third parties, except as required by the Finnish authorities.

8. Storing and deleting data

We will keep your information at least for the duration of the customer relationship. After termination of the customer relationship, the retention period depends on the information and its purpose. The information may be deleted by the customer request or because of the termination of the customer relationship.

9. Principles of registry protection

Personal data is kept confidential. The e21 Solutions’s data network and hardware are protected by a firewall and other necessary technical measures.

10. The rights of the registered

Registered have the right to prohibit the disclosure and processing of your information for direct advertising and other marketing purposes.
